This Privacy Policy explains how PractiScale LLC collects, uses and shares information when you visit practiscale.com, book a call, contact us or subscribe to our newsletter.

Privacy at a glance

  • We collect the business contact details you give us, such as your name, email, phone number and practice name, plus technical data from cookies and similar tools.
  • We use this information to respond to you, deliver our services, send updates you asked for and improve our website.
  • We do not sell your personal information for money. We use advertising cookies, and you can opt out of them.
  • Our website is for healthcare businesses, not patients. Please do not send us any patient health information through this website.

1. Who we are

PractiScale LLC (“PractiScale”, “we”, “us” or “our”) helps healthcare businesses build referral relationships and provides related billing, credentialing and marketing services. We are based at 5900 Balcones Dr 25786, Austin, Texas 78731, United States.

This policy applies to practiscale.com, our booking and payment pages, and the forms, emails and newsletters we send (together, the “Site”). It does not apply to information we handle for clients under a separate service agreement or business associate agreement. Those agreements govern that information.

2. Information we collect

Information you give us

  • Contact and business details: your full name, email address, phone number, practice name, the service you are interested in (for example billing, credentialing or referral partners) and the best time to contact you.
  • Newsletter sign-ups: your name and email address when you subscribe to Practice Pulse.
  • Booking details: the information you enter when you book a call, such as your name, email, phone number and answers to booking questions.
  • Payment details: when you pay for a discovery call or our services, your payment is handled by our third-party payment processor. We do not receive or store your full card number.
  • Communications: the content of emails, messages and calls you have with us.

Information we collect automatically

  • Device and usage data: IP address, browser and device type, pages viewed, the page that referred you, time spent on pages and approximate location based on your IP address.
  • Interaction data: clicks, scrolling and mouse movement, collected through heatmap and session-recording tools. These tools are set to mask the text you type into form fields.

Information from other sources

We may receive business contact information from referral partners, business partners, advertising platforms and public sources such as your practice’s website, professional networks and public business directories.

3. How we use information

We use personal information to:

  • respond to your inquiries and schedule calls;
  • provide, manage and improve our services, including introducing you to potential referral partners that you approve;
  • process payments and keep business records;
  • send newsletters, service updates and marketing messages (you can opt out at any time);
  • call or text you where you have agreed to this (see Text messages);
  • understand how visitors use the Site and measure the performance of our advertising;
  • protect the Site, our clients and us from spam, fraud and misuse; and
  • comply with the law and enforce our Terms and Conditions.

We may also use information for other purposes we tell you about at the time we collect it, or with your consent.

4. How we share information

We share personal information only as described below:

  • Service providers who work for us, such as website hosting, customer relationship management, scheduling, email, payment processing, analytics, advertising and security providers. They may use the information only to provide services to us.
  • Referral partners and other professionals we introduce you to, but only with your approval and only the business details needed for the introduction.
  • Professional advisers such as lawyers, accountants and insurers.
  • Legal and safety reasons: when the law requires it, or to protect the rights, property or safety of PractiScale, our clients or others.
  • Business transfers: as part of a merger, acquisition, financing or sale of all or part of our business.
  • With your consent or at your direction.

We do not sell or rent your personal information to third parties for their own marketing. Some advertising cookies may count as “selling” or “sharing” under certain US state laws. See Your choices and rights to opt out.

We do not share mobile phone numbers or text message opt-in consent with third parties or affiliates for their marketing or promotional purposes.

5. Cookies, analytics and advertising

Cookies are small files stored on your device. We and our partners use cookies, pixels and similar technologies for the purposes below:

  • Essential: needed for the Site to work and stay secure, for example to load pages and protect our forms.
  • Google Tag Manager (Google LLC): loads our analytics and advertising tools.
  • Google Analytics 4 (Google LLC): measures visits and how people use the Site.
  • Microsoft Clarity (Microsoft Corporation): heatmaps and session recordings that show how visitors use our pages. Microsoft and PractiScale use this data to improve the Site and Microsoft’s products. Learn more in the Microsoft Privacy Statement.
  • Meta Pixel (Meta Platforms, Inc.): measures our ad performance and helps us show PractiScale ads to relevant audiences on Facebook and Instagram.
  • Google reCAPTCHA (Google LLC): protects our forms from spam and abuse. Its use is subject to the Google Privacy Policy and Terms of Service.
  • Embedded content: videos and other content from sites such as YouTube may set cookies when you play them.

Your cookie choices

  • Block or delete cookies in your browser settings. Some parts of the Site may not work properly without them.
  • Opt out of Google Analytics with the Google Analytics opt-out browser add-on.
  • Control the ads you see on Facebook and Instagram in your Meta ad preferences.
  • Learn about interest-based advertising choices at optout.aboutads.info.

Where the law requires it, we treat a Global Privacy Control signal from your browser as a request to opt out of targeted advertising for that browser.

6. Text messages (SMS)

If you give us your mobile number and agree to receive text messages, we may text you about your inquiry, appointments and our services. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Agreeing to receive texts is not a condition of buying anything from us.

We do not share mobile phone numbers or text message opt-in consent with third parties or affiliates for their marketing or promotional purposes.

7. Patient and health information

The Site is designed for healthcare businesses, not patients. Please do not submit protected health information (PHI) or any patient details through our forms, booking pages, chat or email.

Where a client service, such as medical billing or credentialing, requires us to handle PHI, we do so under a business associate agreement as required by HIPAA. That agreement, not this policy, governs that information.

8. How long we keep information

We keep personal information only for as long as we need it for the purposes in this policy. In general, we keep inquiry and contact records while we have an ongoing business relationship with you and for a reasonable period afterwards to meet legal, tax, accounting and record-keeping requirements. We keep newsletter details until you unsubscribe. Analytics and advertising data is kept according to the retention settings of those tools.

9. How we protect information

We use reasonable administrative, technical and physical safeguards to protect personal information, including encrypted (HTTPS) connections and limits on who can access data. No website or online service is completely secure, so we cannot guarantee the security of information you send us.

10. Your choices and rights

  • Marketing emails: use the unsubscribe link in any email, or contact us.
  • Text messages: reply STOP to any message.
  • Cookies and ads: see Your cookie choices above.

Depending on where you live, including California, Texas and other US states with privacy laws, you may have the right to:

  • know what personal information we hold about you and get a copy of it;
  • correct inaccurate information;
  • delete your information;
  • opt out of targeted advertising, the “sale” or “sharing” of personal information, and certain profiling; and
  • appeal our decision about your request.

To make a request, email info@practiscale.com with the subject “Privacy Request”. We will verify your identity before acting on a request and will respond within the time the law requires. An authorized agent may make a request for you if we can verify their authority. We will not discriminate against you for exercising your rights.

If we decline your request, you can appeal by replying to our decision with “Appeal” in the subject line. If you are not satisfied with the outcome of your appeal, you may contact your state attorney general.

Additional information for California residents

In the last 12 months we have collected these categories of personal information: identifiers (such as name, email and phone number), commercial information (such as services bought), internet or network activity, approximate location, and professional information (such as your practice name and role). We collect them from the sources and use them for the purposes described above.

We disclose these categories to service providers for business purposes. We may “share” identifiers and internet activity with advertising partners such as Meta for cross-context behavioral advertising. We do not knowingly sell or share the personal information of anyone under 16, and we do not use sensitive personal information to infer characteristics about you.

11. Children’s privacy

The Site is intended for adults acting for businesses. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

12. Third-party websites and services

The Site links to and uses third-party services, such as our booking and payment pages, LinkedIn and YouTube. Those services have their own privacy policies, and we are not responsible for how they handle your information.

13. Where we process information

PractiScale is based in the United States, and we and our service providers process information in the United States. If you visit the Site from outside the United States, your information will be transferred to and processed in the United States.

14. Changes to this policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If we make material changes, we will take reasonable steps to let you know, such as a notice on the Site or an email.
