How Sintrel Built a Direct NEMT Referral Network in Virginia and Filled Her Schedule With Recurring Trips

“I would love to connect and discuss our process, as we are always in need of transportation.” – Jana Jackson B.S., MPH, QMHP-C, Utilization Management Coordinator

What does your company do?

Mission One Services is a Service-Disabled Veteran-Owned Small Business providing professional, door-to-door non-emergency medical transportation throughout Virginia. The company serves seniors, veterans, dialysis patients, individuals using wheelchairs, families with special needs children, and recently discharged hospital patients, operating across Fredericksburg, Stafford, Spotsylvania, Woodbridge, and the wider Virginia region with sedans, SUVs, and wheelchair-accessible vans.

What challenges were you facing before working with us?

During her onboarding, Sintrel explained that she was building her referral network from scratch and had:

  • No established relationships with discharge planners, case managers, or dialysis centers in her Virginia coverage area
  • No structured outreach process to reach the right referral sources while simultaneously managing vehicles, drivers, and day-to-day operations
  • Active credentials in progress with Medicare, Medicaid, and major insurers, but no referral partners actually sending patients
  • Limited bandwidth to pursue consistent outreach while running a transportation company full-time

Why She Chose PractiScale

Sintrel wanted a structured, hands-off way to:

  • Build direct relationships with the discharge planners, dialysis centers, and case managers already sending transportation referrals in her Virginia territory
  • Lock her coverage area Fredericksburg, Stafford, Spotsylvania, and Woodbridge so no competing NEMT company received the same outreach
  • Focus on delivering great service to incoming patients while PractiScale handled the relationship-building on her behalf

What We Did

We designed a targeted outreach strategy that:

  • Identified the discharge planners, utilization management coordinators, dialysis centers, skilled nursing facilities, and case managers across Sintrel’s Virginia territory that were the right fit for Mission One’s vehicle types, payer mix, and patient population
  • Reached out to 154 healthcare professionals across the region, positioning Mission One as a local, veteran-owned NEMT provider with wheelchair-accessible vehicles, same-day availability, and Medicaid and Medicare billing capability
  • Sent personalized outreach focused on how Mission One could support each facility’s specific patient discharge and transportation needs
  • Facilitated direct introductions to decision-makers ready to discuss ongoing referral relationships

Wins & Highlights

Within 4 weeks, Sintrel had secured her first 2 direct referral partnerships, and by the end of the program, that number had grown to 5.

Jana Jackson, B.S., MPH, QMHP-C: Utilization Management Coordinator who responded within 24 hours of first contact, expressed immediate interest in connecting to discuss her facility’s transportation needs, shared her direct phone number and email, and scheduled a Zoom call with Sintrel to explore an ongoing referral relationship.

The referral partnerships produced results quickly. One connection generated a recurring dialysis patient needing round-trip transportation every Tuesday, Thursday, and Saturday three scheduled, guaranteed trips per week from a single relationship. Across the program, 2 direct patient referrals were received through the established partnerships.
